III. Office - Set Up Operators, Wells and Tanks
Operators Wells Tanks Overview Uploading To setup new operator or well names, on the main screen in the Toolbar click on the SETUP button or right click and select SETUP. The SetUp Window will open and if Operators and Wells are present it will navigate to the Wells view.
Operators
To Create or Edit Operator names click on OPERATORS. Enter a name in the text box and click on CREATE. I suggest using short names to keep things simple. Please note that if you DELETE a Operator name you will delete all associated records to that operator which will usually include all associated wells and tanks and any data for those items. To edit an Operator name, click on the left border of the data grid next to the desired Operator. The Operator name will appear in the Operator text box and may be edited as desired. Click on SAVE EDIT to update the Operator name throughout the database. Be aware that duplicate Operator names are allowed. At this point you may want to setup Login data for your Clients. Select an Operator by clicking on the left border of the data grid next to the desired Operator. Click on the button SET LOGIN. The window will expand and you will be able to enter a UserId and a Password. Select CREATE or SAVE EDIT as needed. Select FINISH/CLEAR when finished.
A UserId and Password will be given to each Client. This Login will allow the Client to download records from the remote database for the associated Operator. If a Client needs to have access to data from more than one Operator, setup a UserId and Password for that client for each Operator.
Wells
Well names are created in a similar fashion. Click on WELLS and first use the drop down menu to select an Operator, next enter a Well name, a location, enter or select a State name and then use the radio or bullet buttons to select the ‘Type’ for that Well. When finished click on CREATE. Repeat this process to set up the Wells for each Operator. If you do not find the state you want, click on STATES create a new State and State ID. The state will then be available for your selection. Be aware that duplicate Operator names are allowed such that the Location field becomes important. To edit a Well name, click on the left border of the data grid next to the desired Well. Edit as desired and click on SAVE EDIT to update the Well information throughout the database.
Tanks
Tank names are created in a similar fashion. Click on TANKS and first use the drop down menu to select a Well, next enter a Tank name, a size, the Barrels Per Inch as a decimal (ex: 1.67) and then use the radio or bullet buttons to select the ‘Type’ for that Tank. When finished click on CREATE. Repeat this process to set up the Tanks for each Well. Be aware that duplicate Tank names are allowed. To edit a Tank name, click on the left border of the data grid next to the desired Tank. Edit as desired and click on SAVE EDIT to update the Tank information throughout the database.
Overview
Overview provides a grid like view of the Operator and Well names plus related headings. The records are initially grouped by Operator then Well. To change the grouping click on UNGROUP and then follow the directions for creating a new group. Note that more than one Heading may be placed into the grouping area at the same time.Uploading SetUp Data
When finished close the Well SetUp window, click on the REMOTE button to open the Remote Database Connection window and in the OFFICE TASKS frame, click on UPLOAD (Alt ‘p’) to upload the data to the remote server. If you are using a Dial-Up Internet Service, the process to connect to that service should start at this time if you are not already connected. You may find it easier to track your upload if you connect to the service prior to running the upload.
Note: When working with an OFFICE database, the user may function as both the Office and a Pumper. The Remote Database Connection window offers the necessary options to perform the needed tasks.
IV. Installation
It is best to terminate all programs that auto-start when your system boots-up especially virus protection programs that are in constant run mode and then re-boot before the installation. Place the CD in the drive. If the installation program does not start automatically, use Windows Explorer or My Computer expand the directory for the CD. Double click on the file ‘DayPumper_Install.exe’.
This program requires that the .NET Framework 1.0 or later and MDAC 2.6 or later be present on your system. In general, the .NET Framework 1.0 and MDAC 2.6 were not distributed with either Windows 95 or Windows 98; however, they may have been installed later. If your system has either Windows 2000 or Windows XP both of these products should be present but may not have the proper version. If you are not sure, run the DayPumper install and you will be prompted to add or update these components as needed. Then run the DayPumper install again.
V. Running the Program
There are several methods to start the program.
1) Double click on the ‘Desk Top’ icon.
2) Go to Start, Programs, and find the DayPumper listing.
3) Using Windows Explorer or My Computer, go to the DayPumper folder and double click on the file named ‘DayPumper.exe’.The program will open to the main window. The four main icons at the top of the screen are from left to right:
EXIT   to exit the program PUMPER   entering or editing of data by the Field Pumper CLIENT / REPORTS   viewing reports, tables or lists of pumper data REMOTE   data transfers by the Pumper or Office SETUP   set up Operator, Well & Tank names -- show an Overview VI. Database Structures
There are two types of databases associated with this program. The Remote Database is a SQL Server database residing on a remote server to which has been preset for each Company purchasing this Program. The Local database will be an Access database of which there are three versions: OFFICE, PUMPER and CLIENT. Each version has slightly different functionality.
CLIENT will be the Pumping Company’s clients that will be allowed to download data from the remote server based upon permissions granted by the OFFICE. Clients will be able to generate a variety of Reports that may be viewed on screen or printed.
OFFICE is normally used to setup Operator, Well and Tank names which are uploaded to the remote server. OFFICE may also download the daily PUMPER data.
PUMPER is used to enter daily data for Oil and Water Gauges, Gas data and any other needed information which is then uploaded to the remote server. PUMPER will initially download the setup information that was previously uploaded by OFFICE. A Pumping Company that does not use a central office will want to function as an OFFICE to permit the field pumper to create and enter data for both the OFFICE and PUMPER functions.
VII. Create and Name a New Database
To create a new local database file select FILE, CREATE NEW. An input window will open asking you to enter the new database name such as: Operator04. After entering the name select ‘OK’ and the database will be created. The database is now ready for use and the name of the new database should be listed at the top of the form.
Note: If you are currently acting as the OFFICE, you will be prompted if you want to create a Pumper or a Client database. You will select YES or NO for each option. By selecting NO to each option you will be creating an Office database.
To open a database select: FILE, OPEN. The ‘Open a Database’ window will open so that you may select the file you have just created. Select the file by double clicking on the file or selecting the file and then clicking on OPEN. At the top of the screen in the Menu bar you will see the name of the Current Database file in use.
Day Pumper will remember the last database that was in use and open to that database when you start a new session. To enable or disable this option use: FILE, PREFERENCES to open a view of the current preferences. A check in the check box in the upper left portion of the view will cause the last file used to be remembered. Please note the other options available in this view.
VIII. Back Up
To make a Back Up of your database file use FILE, BACKUP from either the dropdown or right click menu. To use the right click menu the cursor must be over the main program window.
The best location for back up files would be on a separate physical drive from where the program is stored but this is not always available. A default path is provided.
When you have reached the end of the year and you are ready to start working on the next year, return to the main window and select FILE, NEXT YEAR. This will set up a new database file using the basic Operator, Well and Tank information you have entered in the database file that is currently open. It will not change anything in the file that is currently open but create a new file with the following changes.
All Daily Totals, Oil Run, Gauge Oil and Water Gauge entries will be deleted except for the Daily Totals record for the last day of the previous year. This record is needed to get the ‘CLS Stock’ value for the first day of the next year for each Well.
Start by selecting the file that you wish to rename. Then click on FILE, NEXT YEAR, an input box will ask you to enter the new file name. I would use the same basic name as before and just change the year. Then click ‘OK’.
This file is now available for use by use.
Delete All Records Prior To
An alternative to creating a new local database or if you just want to do a Clean Up on the current database, run the DELETE command.Select TOOLS, DELETE from the Menu list at the top of the window. Enter a Month and a Year for which you want all prior records to be deleted. Click on DELETE/CLOSE or DELETE to delete the records.
For example if you are starting a new year, after you have entered all records for January 1 of the new year then run a DELETE for all records prior to month 1 of the new year.
Note: Only the OFFICE version of the database has the ability to delete records from the Remote database.
As you know crashes do occur. They occur due to problems in this program, in the Visual Basic programming language, in the Widows Operating System and in the Access Database program used along with this program. Most crashes will occur as you start to use the program and get familiar with its operations. Before you contact PE Inc. here are a few hints. The program is designed to save data often so when a crash occurs you usually loose very little data.
When a crash occurs and the program is still open, try clicking on the main exit icon of the main window to exit the program. It looks like a man walking through a door or leaving a room.
If that fails ‘Control-Alt-Delete’ should take you to the Task Manager and you can close the program from there.
If portions of the program are still not working then ‘Re-Start’ the Windows Operating System.
Now, re-enter the program and try the procedure again.
If all else fails, send an e-mail to: staff@peincvb.com. You can describe the problem you are having or leave a number and time where I can contact you if you like. I will reply as soon as I can. A preview of this program is available at www.peincvb.com
